OFFICE & OUTREACH ASSISTANT - JOB POSTING

$16.00/hour 20 hours/week (with possibility of increased hours)

The Office & Outreach Assistant will provide administrative support to the Executive Director to help her make the best use of her time, as well as assume general responsibilities to ensure the smooth day to day operation of Fresh Start Support Services, and getting and keeping the community excited about and invested in the organization.

The Office & Outreach Assistant reports to the Executive Director, and supports the Program Manager and Bookkeeper as directed by the Executive Director.

The Office & Outreach Assistant will:

  1. Perform clerical duties such as responding to the phone, general inquiries made at the office, referring incoming calls or walk-ins to appropriate staff, typing, proofreading, collection/distribution of incoming/outgoing mail
  2. Prepare Executive Director for meetings, take notes at meetings, and assist Executive Director with follow-up
  3. Carry out specific projects and research
  4. Maintain confident and accurate databases, computer and paper files
  5. Maintain the inventory of all office supplies, and purchase supplies as needed
  6. Assure proper maintenance of all necessary office equipment
  7. Monitor and maintain set up and security for all users of the computer network, e-mails, bookkeeping and donation software, security system, telephone and voice mail
  8. Obtain and maintain files on Certificates of Liability and WSIB for purchased service providers such as plumbers, electricians, etc.
  9. Maintain computer and paper inventory of forms, staff and Board member lists
  10. Generate, process and reconcile resident account receivables in collaboration with Program Manager
  11. Post jobs, organize interviews, and conduct reference calls for potential candidates
  12. Plan, organize and implement successful events from conception to completion, including promotional material, the recruitment of volunteers, and organizing facilities and details such as location, decor, catering, entertainment, equipment, invitee list, special guests etc.
  13. Plan, organize and implement successful Baby Bottle Campaign from conception to completion, including promotional material, the recruitment and retention of volunteers, new churches, drop off and pick up of bottles, counting and recording of donations etc.
  14. Plan, organize and implement the printing and distribution of the newsletter, including the recruitment and retention of volunteers, and assisting with obtaining and editing the content
  15. Obtain and edit the annual report content, plan and implement the printing and distribution
  16. Create and update display boards
  17. Ensure websites and social media sites are reviewed and updated no less than weekly for refreshers or postings of relevant information (including twitter page, and Facebook page)
  18. Ensure messages received from social media sites are monitored daily and responses generated to recipients within 1 business day.
  19. Validate computer backups and secure off-site storage on an on-going basis.
  20. As directed, send communication to donors via email and mailchimp
  21. Participate in training programs, conferences, courses and other aspects of professional growth
  22. Maintain current CPR and First Aid Certification
  23. Ensure that own work area is kept safe and clean
  24. Identify any potential or actual health or safety concerns at Fresh Start Support Services and address the situation
  25. Other duties as assigned by the Executive Director

RELIEF SUPPORT WORKER - JOB POSTING

Position reports to program manager

The Relief Support Worker shall agree to any predetermined, scheduled shifts per week, and to be on call for emergency circumstances when the scheduled staff is not able to work.

This is a part-time position (32 hours per month). Additional hours may be offered to cover holiday schedules, as well as staff planned and unplanned absences. The normal work schedule is days 7:00-3:00, evenings 3:00-11:00, nights 11:00-7:00. Note: The Program Manager will set the hours of work and work schedule as per operational requirements. Flexibility in scheduling is required.
